The reality

Six reasons chatbots disappoint

Most bots fail because they can only talk. These are the common reasons, and the fixes.

01

A queue of repeated questions

Support spends its day on the same twenty questions.

What we doA bot that answers them from your knowledge base, with a person for the rest.
02

Silence outside office hours

Enquiries wait until morning and go elsewhere.

What we doInstant replies on web and WhatsApp, with lead details captured for your team.
03

Knowledge scattered everywhere

Answers are in wikis, chats and people's heads.

What we doAn assistant indexed on your documents that cites where each answer came from.
04

Bots that cannot act

It explains how to reset a password and then tells you to call.

What we doTool use: the bot calls your systems to look up an order or book a slot, within rules you set.
05

A bot that goes off script

It answers things it should not.

What we doScope limits, filters and tests, with refusal of out-of-scope requests.
06

No way to reach a person

Customers get stuck in a loop.

What we doA clean hand-over, with the conversation passed to a human.
What you gain

What a good bot changes

We agree the measures with you, such as share of questions resolved and time to first reply, before we build.

Support time freed

Routine questions answered automatically, so people handle the hard ones.

Answers around the clock

Replies at any hour, on the channels customers use.

Faster lead follow-up

Enquiries get a reply and a next step immediately.

One place for knowledge

Staff ask questions and get answers with sources.

Control and visibility

Every conversation logged, with limits on what the bot may do.

Work done, not just talked about

Agents use your tools to complete tasks.

How we work

Five stages, with a person always in the loop

We launch narrow, measure, then widen what the bot may do.

  1. 1

    Discover

Choose the first job the bot should do well.

    What happens
    • Review real conversations and questions
    • Pick the top use cases
    • Agree success measures
    You get
    • A scoped plan
    • A list of questions and tools
    • A fixed-scope quote
    Your part

    Share sample conversations and documents.

    Safety net

No build starts until you approve the plan.

  2. 2

    Design

Define the conversation, the tools and the limits.

    What happens
    • Write the instructions and tone
    • List tools and permissions
    • Design the hand-over
    You get
    • A conversation design
    • Permission rules
    • A test set
    Your part

Approve what the bot may and may not do.

    Safety net

The bot gets only the permissions you grant.

  3. 3

    Build

Connect the knowledge, the model and the channels.

    What happens
    • Index your knowledge
    • Build tools and integrations
    • Connect web and WhatsApp
    You get
    • A working bot
    • Admin view of conversations
    • Logs
    Your part

    Try it and give feedback.

    Safety net

Built in your accounts, with your data only.

  4. 4

    Test

Check it against real questions before customers see it.

    What happens
    • Run the test set
    • Try to break it
    • Tune answers and limits
    You get
    • A test report
    • Known limits
    • A launch bar
    Your part

Review results and agree the launch bar.

    Safety net

It launches only when it meets the bar.

  5. 5

    Launch and improve

Go live to a small group first, then widen.

    What happens
    • Soft launch
    • Review conversations weekly
    • Add questions and tools
    You get
    • A live bot
    • A monthly report
    • A backlog of improvements
    Your part

Review the report and choose what is next.

    Safety net

A person can take over any conversation at any time.

FAQ

AI chatbot and agent development: common questions

Something else on your mind? Ask us directly.

Ask a question
What is an AI agent?

A language model that can use tools: it decides which of your systems to call, such as looking up an order or booking a slot, and carries out a task step by step within limits you set.

How is this different from a basic chatbot?

A basic chatbot follows a script. An AI assistant understands free-text questions, answers from your knowledge, remembers the conversation and can act through your tools.

Can it work on WhatsApp?

Yes. We connect assistants to the WhatsApp Business API as well as your website and apps. We already send WhatsApp reminders in products we built, such as EnvironDesk.

Can it hand over to a person?

Yes. A person can take over at any point, with the full conversation passed on.

How do you stop it saying the wrong thing?

Answers come from your documents, with sources; scope limits and filters keep it on-topic; and we test it against real questions. High-stakes answers can need a person's approval.

Can it use our CRM or helpdesk?

Yes. We build integrations to your CRM, helpdesk and database, with permissions you control.

Is our data safe?

We build in your own cloud accounts with access rules on every source. Where needed we use private or open-source models.

How long does a first version take?

A focused first bot can take a few weeks. The plan gives you a timeline before you commit.

How much does it cost?

It depends on the use case, channels and integrations. There is no rate card: you get a written, itemised quote after a free call.

Who owns it afterwards?

You do. The code, configuration and accounts are yours.
